GENERAL SUMMARY (2 to 3 sentence summary of major components of job)
Responsible for collecting, confirming, editing, and finalizing prior day’s paperwork and payments. Promotes good customer relations. Responsible for supporting dispatchers by answering phones, confirming, orders, and filling in as dispatcher as needed and on rotating weekends.
MINIMUM REQUIREMENTS (minimum educational, experience, or other relevant job requirements)
1. High school diploma, GED, or equivalent.
2. One year of telephone service or order taking in a business environment.
3. Willing to work an irregular schedule including mornings, evenings, & weekends.
4. Good organizational skills, attention to detail, and ability to multi-task in a fast paced environment.
5. Familiar and comfortable with computers, spreadsheets, and basic math.
PREFERRED REQUIREMENTS (preferred requirements i.e. certifications, software use, etc.)
1. Cash handling.
2. Vehicle dispatching.
3. Operation of backhoe, forklift, etc.
DUTIES AND/OR RESPONSIBILITIES (summary of components that make up the job) An asterisk (*) indicates essential job functions that cannot be modified in order to fulfill the job requirements.
1. Promotes Company’s Purpose, Mission, and Vision statements.
2. Run daily reports as needed for point of sale paperwork processing.
3. Gather all tickets, including voids, re-print any missing tickets.
4. Ensure all voids have reasoning listed and are initialed by supervisor.
5. Match all tickets to the appropriate report, checking for accuracy in customer, job, mix, pricing, and tax. Edit in software as needed.
6. Verify all payments received. Record on daily cash log.
7. Collect outstanding payments. Record progress on cash log.
8. Print material usage report and have supervisor initial for accuracy.
9. Re-print final daily report after all edits are made and submit to office for final invoice processing.
10. Assist ready mix supervisor with vacation/call out tracking.
11. Back up dispatcher and supervisor by answering phones, taking and confirming orders, dispatching as needed and in Saturday rotation. Dispatching duties include:

• Quotes prices and receives orders for company products.
• Directs activities of drivers and confers with customers, plant production and yard personnel.
• Prepares delivery tickets and related shipping documents in Command Batch.
• Effectively communicates with drivers on unfamiliar delivery routes to ensure efficient delivery.
• Receives cash/credit card/check payments.
• Monitors and keeps supervisor and drivers informed of tasks and situations so the schedule can be updated.
• Answers phone to take/alter customer's order and complete all required information. Ensure the customer understands all relevant company policies such as stand-by, Saturday charges, Verifi, returned concrete, additional products over amount ordered, and our driver's responsibilities.
• Obtains all pertinent information from customer including but not limited to: customer name, job name, delivery address and instructions to the jobsite, PO, lot/block, customer job number; concrete mix, slump and admixes, desired job start time, spacing, any other pertinent information regarding the job/site, payment information if cash or COD customer.
• Verify the order back to the customer to ascertain the accuracy of the information.
• Properly input in Command Batch or pass along the order and special instructions.
• Communicate effectively (verbal, listening, written) and work with difficult people under high stress situations. Self-motivated, team-player with good interpersonal skills; ability to maintain positive customer relations and act courteous/respectful of others.
• Troubleshoot and problem solve situations/problems (material quality, equipment operation/repair, report editing, etc.).
Monitor and discuss production problems with coworkers aworkers and managers/supervisorsnd managers/supervisors
• Ensure OSHA, EPA, DNR, safety and environmental regulation compliance.
• Perform above duties independently.
